Privacy Policy

Last updated: 22 October 2026

The Aphantasia Foundation ("we", "us", "our") is committed to protecting your privacy. This policy explains what personal information we collect when you use aphantasia.charity (the "site"), how we use it, and your rights.

1. Who we are

The Aphantasia Foundation is an unincorporated charitable association in England & Wales, working toward registration as a Charitable Incorporated Organisation (CIO). We are the "data controller" responsible for your personal information.

You can contact us at info@aphantasia.charity [or by post at: [postal address to be added]].

[If we are required to register with the Information Commissioner's Office, our registration number is [ICO registration number].]

2. Information we collect

Information you give us

  • Contact form: your name, email address, the topic you choose, and your message.
  • Newsletter: if you sign up, your email address, together with a record of your consent (the wording you agreed to, when, and on which page).
  • Donations: our donation form is provided by our partner Zeffy. Any payment and contact details you enter go directly to Zeffy, so we never see or store your card details. We may receive your name, email, and donation amount so we can thank you and keep proper records.
  • Emails: if you email us directly, we receive your email address and whatever you include.

Information collected automatically

  • Our hosting provider (Vercel) and standard web-server logs may process technical data such as your IP address, browser type, and the pages you visit, to keep the site secure and running.

3. How we use your information

We use your information to:

  • respond to your enquiries and requests;
  • send you occasional email updates, if you have signed up for them;
  • process and acknowledge donations and keep accurate financial records;
  • keep the site secure, available, and working properly.

Our legal bases under UK GDPR are our legitimate interests (running the charity and responding to you), your consent (where you give it), and, for financial records, our legal obligations. We do not use your information for marketing without your consent, and we never sell your personal data.

4. Who we share it with

We use trusted third-party providers ("processors") who act on our instructions:

  • Web3Forms: delivers contact-form submissions and newsletter sign-ups to us by email.
  • Zeffy: processes donations.
  • Vercel: hosts the website.

Some providers may process data outside the UK (for example, in the United States). Where they do, we rely on appropriate safeguards (such as the UK–US Data Bridge or the UK Addendum to the EU Standard Contractual Clauses). Each provider has its own privacy policy. We may also disclose information where required by law.

5. How long we keep it

We keep enquiry emails only as long as needed to deal with your query and for a reasonable period afterward. We keep newsletter sign-ups until you unsubscribe, which you can do at any time by replying to any update or emailing info@aphantasia.charity. We keep donation records for as long as required for financial and charity-reporting purposes. [Confirm specific retention periods.]

6. Cookies and local storage

Our site does not set any cookies or use browser storage, and we do not run analytics. If we add analytics in future, it will only load after you consent, and we will update this policy.

Third-party embeds (such as the Zeffy donation form) may set their own cookies when you interact with them; these are governed by the third party's own policy.

7. Your rights

Under UK data protection law you have the right to access your personal data; to ask us to correct or delete it; to restrict or object to our processing; and to data portability. To exercise any of these, email info@aphantasia.charity.

You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk.

8. Children

Our site is not directed at children under 13, and we do not knowingly collect their personal data.

9. Changes to this policy

We may update this policy from time to time. The "last updated" date at the top shows when it was last revised.
